This position reports to the Senior Controller and requires an energetic team player who performs at a high level of accuracy and efficiency, is well organized, eager to learn, can work independently, and demonstrates ownership and initiative to accomplish goals. The Staff/Senior Staff Accountant is responsible for handling functions related to Accounts Payable, Accounts Receivable, Cash and Accounting and works closely with all Departments to ensure the smooth flow of operations.

Responsibilities:

ACCOUNTING – Assist the Accounting team with:

  • Completing monthly journal entries and providing required details and support
  • Reviewing and analyzing transactional source documentation and preparing monthly balance sheet account analyses and reconciliations including roll-forwards
  • Reviewing monthly and quarterly financial statement fluctuations and preparing detailed supporting schedules
  • Preparing documentation for external auditors
  • Other research and projects as assigned

ACCOUNTS PAYABLE – Assist the Accounting team with:

  • Receiving, coding, and entering invoices and expense reports into accounting system
  • Working with Operations to ensure prompt resolution of Purchase Order discrepancies
  • Reviewing & reconciling vendor statements. Timely investigating and resolving any past due balances.
  • Analyzing, coding, and reconciling T&E, reviewing employee credit card transactions and following up on outstanding receipts
  • Helping with ACH & wire transmissions
  • Maintaining excellent working relationships with vendors, employees, and other departments in support of AP procedures. Researching and responding to internal inquiries quickly and courteously and following-up and following-through with complicated matters.
  • Maintaining, updating, and creating new vendors in Accounting & T&E systems
  • Reconciling Accounts Payable balance and G/L

ACCOUNTS RECEIVABLE – Assist the Accounting Team with:

  • Timely processing all customer payment & chargebacks in accounting system
  • Reconciling payment transactions and bank deposits and settlements daily
  • Following up on past due balances under the guidance of the Senior Accounting Manager
  • Responding to customer inquiries & working with cross-functional teams to resolve customer issues and providing a good customer experience
  • Reconciling Accounts Receivable balance and G/L

COMPLIANCE – Assist the Accounting Team with:

  • Prepare schedules for external & Japanese SOX (JSOX) and/or internal audits
  • Assist with maintaining and updating accounting policies and procedures
  • Assist with 1099 & S&U tax and unclaimed property

Experience & Skills:

  • Bachelor’s Degree in Accounting & CPA required
  • 3-5 years’ experience in a general accounting position; “Big 4” experience a Plus. Consumer products or manufacturing and/or e-commerce experience preferred. Cosmetics Industry a Plus.
  • Proven understanding of accounts payable, accounts receivable and accounting
  • Expertise in Excel. Knowledge of Navision a Plus.

  • Purchasing- place finished good replenishment orders and check/purchase the corresponding components within the required timeline to accommodate demand, purchase plans and planning projections.
  • Tracking of all components, from the time they are purchased until they reach their destination, to ensure delivery meets the vendor production lead time
  • Communicate with international component suppliers regarding quantity confirmation and ship mode
  • Shipping Method: Review production schedules of finished goods and components to determine the most timely and cost efficient way to have goods transported
  • Communicate with freight companies to gain insight on best mode of transportation to meet deadlines, help with customs clearance in advance, and follow up until units are delivered to the required destination
  • Review open order reports with suppliers which include timing of all components, batching schedule, and production schedule
  • Maintain relationships with the corresponding supplier contacts. Have weekly phone calls, visit facilities, set up standards as they relate to specifications, production scheduling, shipping and sample retains
  • This includes keeping track of supplier performance and running monthly scorecard review meetings to improve processes and performance for both parties
  • Understand and evaluate potential delays as it relates to both production and shipping and initiate communication amongst the planning, launch, new product development, and retail operations departments. Further help to find ways to remedy the situation as quickly as possible such as expediting raw materials, air shipping units and direct shipping to retailers
  • Review of production retains to make sure items meet up to the specification standards
  • Request monthly book inventories from each vendor. Run monthly reports to confirm the quantity accuracy and value of inventory located at each supplier
  • Using the Navision system to complete daily transactions and receipts. This includes but is not limited to: receiving in completed produced units, transfer orders, closing of production orders, maintaining correct supplier inventory

Experience & Skills:

  • Bachelor’s degree in Business, Engineering or Supply Chain discipline preferred
  • 1-2 years experience in a planning or purchasing function
  • Advanced Excel skills strongly required (Pivot tables, VLOOKUPs, etc.)
  • Must have the ability to handle multiple tasks and priorities simultaneously
